AI is one of the most significant drivers in document management in 2025. What was recently dismissed as technological hype has now become reality. They take over tasks that users would traditionally perform manually at their desks, accomplishing them faster, more accurately, and with minimal user effort. Another often underestimated factor is the necessary skill in prompt engineering. Users who can’t provide clear, context-rich instructions often receive inaccurate or unusable results. This means: even the best AI delivers little added value without proper know-how. User education is essential – only informed users can fully leverage the technology’s potential and avoid misuse. For example, AI systems technically cannot process extremely large datasets. A query asking for the total sum of all invoices from a large enterprise would likely exceed the capabilities of a standard AI model. Again, user awareness is vital to understanding these limitations.
Data privacy is another area of concern. With cloud-based AI services, it’s often unclear where and how data is processed. Sensitive documents – such as resumes or contracts – should therefore be protected by technical safeguards, such as selectively blocking certain document types from AI processing. The underlying document management system ensures this security by isolating the AI from the public internet, preventing sensitive data from leaking out.
Moreover, greater user awareness is needed. Only those who understand what powers AI applications can use them responsibly. Companies and developers must ensure that AI is deployed efficiently, in compliance with data protection regulations, and with minimal environmental impact.
